Contracts
Virgin Atlantic Airways – Case Study by Claire-Louise Neal, Stortext FM
July 2007

Successfully converting the Airframe Records to the Omnidox browser based solution provides Virgin Atlantic with a substantial enhancement to their processes and ensures the company minimises exposure to costs associated with a grounded aircraft.

Conversion of 650,000 documents into electronic images to be accessed, viewed and copied via a secure Web enabled central repository for storage and retrieval. This involved all documentation from the Technical Records Department dating back to 1995. The technical documents being Airframe Records, including: Check Packs, Work Orders, Aircraft Technical Logs, Cabin Logs, Approved Certificates, Transmittal letters, Design Documents and finally, Engine Records. One of Clare-Louise’s main concerns was the variety of documents that the department handled. “We have everything from standard A4 paperwork through to extremely detailed diagrams of entire aircraft that are several meters in size (larger than A0 size – 6 feet in length). They all need to be easily accessible and completely legible on the desktop because they are working documents.”

Business Continuity.. Stortext hosted document and data management solutions guarantee the availability and security of critical information, ensuring business continuity documentation is available 24/7/365 irrespective of external factors affecting the organisation. Access to and the provision of accurate aircraft Airframe Records (similar to a car log book) means the full resale or leasing value of the aircraft may be realised as dictated by C.A.A. regulations Summary:

“They are a great team to work with. Everybody has exceeded our requirements and demonstrated fantastic enthusiasm for what we are seeking to achieve. There has been a real commitment to quality at every stage.”

Target:
To complete the back file conversion to Omnidox Internet Browser in 12 weeks

Volumes:
650,000 documents - Back File
80,000 documents per month - Day Forward

Cost Implication:
A grounded aircraft typically costs the organisation $450 per minute whilst essential documentation is sourced. Prior to engaging Stortext locating this documentation was a manual process facilitated in two or more countries. Implementing the Stortext solution has cut retrieval time down to seconds.
